Realization of genealogical queries at state archives

Archives reply to inquiries sent by mail or electronic mail and also provide access to archive materials in study rooms, to be looked through by users themselves.

The following search aids may be used to search for archive materials in state archives:

• guides to the holdings, lists of fonds, protocols of delivery and acceptance, repertories, indexes, summaries, directories, thematic catalogues, and computer databases, a list of which is available via the internet.
   
• Access to electronic SEZAM lists of fonds and inventories is also available via the internet.
   
• The computer PRADZIAD database provides information on BMD registers and civil status records preserved in the holdings of state archives and some diocesan archives.
   
• An electronic publication entitled "Po mieczu i po kądzieli" (On the spear and the distaff side) has been developed and constitutes a source of valuable information.
   
• Direct access to archive materials is provided to be used by natural persons acting on their own behalf and those being authorised representatives of interested parties. A written declaration submitted by a user regarding the manner and the scope of use of information is also required with respect to information the availability of which is subject to legal protection, such as personal data. Upon the identification of the reference number of an archival unit, a proper order should be placed. State archives, after receiving a requisition, process the order, at the latest, on the next working day.
   
• State archives provide access to the originals of documents. If there are copies of archive materials, in particular, BMD registry records, in the form of microfilms, these copies are made available. Microfilms may also be brought, to the user’s order, from archives preserving documents of interest to the archives where the use of materials will be most convenient for the user.
   
• State archives provide access to archive materials free of charge. Charges are collected for the following services: searching for materials (if the user has not specified the archival unit of interest and has not indicated the reference number); making reprographies (Xerox copies, photocopies, microfilms, scans, audio recordings).
